This policy explains how Harry Graham, trading as Respite Group ("RespiteSite", "we", "us") collects and uses your personal data when you use our website and enquiry form, and your rights under UK data protection law (UK GDPR and the Data Protection Act 2018).

Who we are

What we collect

When you submit the enquiry form we collect the information you provide, which may include:

• Your name and business name
• Your email address and phone number
• Your business type and what you're looking for
• Any details you write in the message field

We do not collect payment details through this website. If you become a customer, billing is handled separately by our payment provider, Stripe.

Why we use it, and our lawful basis

• To respond to your enquiry and prepare your website — on the basis of taking steps at your request prior to entering a contract, and our legitimate interest in answering enquiries.
• To provide and bill for our service if you go ahead — on the basis of performing our contract with you.
• To keep records and meet legal obligations such as tax — on the basis of legal obligation.

We will not send you marketing unless you ask us to, and we never sell your data.

Who we share it with

We use a small number of trusted providers to run this site and our service. They process data on our behalf under appropriate agreements:

• Hosting & forms — Netlify, Inc., which stores your form submission and serves this website.
• Enquiry notifications — submissions may be relayed to our private team channel on Discord so we see new enquiries quickly.
• Email — our email provider, used to reply to you.
• Payments — Stripe, if you become a customer.
• Advertising measurement — Meta Platforms (Facebook/Instagram), only if you consent to cookies, so we can measure how well our ads perform. See Cookies, below.

Some providers may process data outside the UK; where they do, appropriate safeguards (such as the UK International Data Transfer Agreement or adequacy regulations) apply.

How long we keep it

We keep enquiry data for 12 months if you don't proceed, and for the duration of our relationship plus 6 years for customers, to meet tax and accounting requirements. After that it is securely deleted.

Cookies

No tracking cookies load unless you choose to accept them. When you first visit, we ask whether you're happy for us to use advertising-measurement cookies. If you accept, we load the Meta Pixel, which sets two cookies — _fbp and _fbc — used only to measure whether our Facebook and Instagram ads are working, so we don't waste ad spend. For the same purpose, and only with your consent, we also send Meta a matching event from our server via its Conversions API. That event contains your email and phone number in hashed (irreversibly scrambled) form, your browser's user-agent, and the Meta click identifiers from the cookies above — so the browser and server records can be reconciled into a single measurement.

If you decline, none of this loads and no advertising cookies are set. Either way, the site works exactly the same. You can change your choice at any time using the “Cookie settings” link in the footer of any page. Our lawful basis for these cookies is your consent, which you can withdraw whenever you like.

We don't use analytics or any other tracking cookies — these advertising cookies are the only ones, and only if you opt in.

Your rights

You have the right to access, correct, delete or restrict use of your personal data, to object to processing, and to data portability. To exercise any of these, email hello@respitegroup.co.uk. You also have the right to complain to the ICO at ico.org.uk.

Changes

We may update this policy from time to time. The latest version will always be on this page.
